  • Although infrequent, G Suite customers do experience occasional outages. Gmail and Drive were down for some customers worldwide on 20th August 2020 and in the US on March 26th, 2020. In 2019, some G Suite apps were down once in June 2019 and later in August 2019. When your business runs on G Suite, being cut off from these services can be a productivity killer.

In this evaluation, we compared 7 pure-play data backup vendors (including SysCloud) for a business productivity app like G Suite.

Note: We have focused only on cloud backup apps and left out vendors that backup G Suite data on-premise at customer locations or those who are using specialized hardware.

Spanning stands #2 in comparison with a score of 135.15.
Spanning gives administrators a user-level dashboard and dark web monitoring to detect stolen credentials.

Best feature:Detailed user-level dashboards available for every user.

Major drawback:Offers only 1x backup.

CloudAlly scored 134.13 and is ranked #3 in our evaluation.
CloudAlly delivers fast backup and restore speeds and offers customizable, granular backup operator roles and end-user self-service options.

Best feature:They support several cloud services like Salesforce, Dropbox, and Box apart from G Suite and Office 365, all in one account.

Major drawback:No point-in-time restore option and backup settings for organizational units.

Afi scored an overall 130.52 in our evaluation and stands #4 among the competitors.
Afi has a comprehensive feature set that stands second only to SysCloud in the analysis.

Best feature: Advanced backup and restore features.

Major drawback: Lack of admin control options to exclude content types and configure retention periods for users.

Backupify scored 119.99 in our evaluation and stands #5 among the vendors.
Backupify offers fast data restores and easy license cost optimization options.

Best feature: Provides an option to export files in encrypted format for all services.

Major drawback: Unaccounted or missing files during restores.

SpinOne scored 119.58 points in the evaluation and stands #6 among the competitors.
SpinOne has advanced data protection features and licenses optimization options.

Best feature:Integrated ransomware monitoring features.

Major drawback:Does not offer PST or Mbox export options.

UpSafe came last in the rankings with a score of 115.96. Offers advanced search options and configurable storage locations.

Best feature: Granular search options for email.

Major drawback: No cross-user restoration.

Qualifying Criteria & Test Environment

The criteria for choosing these vendors are given below. The vendor should be:

All the 4 cloud backup solutions except Afi, Backupify, and SpinOne were installed on the same test domain with 20 users and 9 Shared Drives with a total storage of 600GB. The domain included emails, text documents, media files, spreadsheets, and native files and folders. 

Note: Afi benchmarked SysCloud and other backup products while prohibiting others from using Afi for competitive benchmarking. We chose to take the high ground and instead of stopping anyone from evaluating SysCloud, we attempted to benchmark SysCloud by relying on publicly available information on Afi, Backupify, and SpinOne to comply with their respective terms of service.

We evaluated all the vendors for the backup success rates which is the ratio of number of files backed up successfully to the total number of files that was included in the backup request. Backup success rate was calculated for both the first-time and incremental backup cycles.
SysCloud and Spanning had 100% success rates for both first-time and incremental backup. CloudAlly and UpSafe scored a 99% backup success rate while Backupify scored the least with a success rate of 86%.
Large organizations or customers with large data volume may care about backup success rates as even a small percentage of missing files can have negative consequences.

The ease of finding files from the backup archives is a key requirement in a backup product.
SysCloud and AFI scored the best in locating lost files with advanced and granular search options. They are the only two vendors that provide keyword search functionality.
SpinOne scored the least in this feature as they only offer search by username and keyword search in the meta description.

License Cost Optimization

Keeping track of the account status of all the users in G Suite is a headache, especially in large organizations. Automating removing users from the backup schedule once they are suspended or deleted from G Suite makes it easier for administrators to optimize and manage licensing costs.
We evaluated the vendors based on whether they allow admins to remove or suspend users that are deleted from G Suite.
All the vendors except Spanning scored well in this category. Spanning does not have an option to automatically identify and suspend deleted G Suite users.

SysCloud performed the best with advanced feature sets, admin controls, and backup protection features while Spanning stood second with high backup & restore speeds and a good feature set.

All the other apps fell short because they had limited feature sets and lacked the flexibility demanded by the customers.
